Terms & Conditions

Welcome to PhysioSTAR – Sports Therapy and Rehabilitation Clinic. By booking or attending an appointment, you are agreeing to the terms outlined below. These Terms & Conditions are designed to ensure transparency, protect your rights, and clarify our mutual responsibilities.


1. Appointment Duration & Scope

We offer a range of services with varying durations depending on the appointment type. We always aim to use your time efficiently and provide as much value and support as possible within each session.


2. Bookings & Payments

  • A £30 deposit is required for most online bookings, paid securely via Stripe.

  • Online consultations and rehab/training plans are paid in full at the time of booking.

  • The remaining balance is paid on the day by card or cash. All major cards, including American Express, are accepted.

  • Full payment is required immediately after the session. Failure to pay may result in refusal of future appointments.


3. Cancellation & Refund Policy

  • Appointments cancelled within 48 hours of the scheduled time or missed entirely will be charged the full session fee.

  • We understand emergencies happen — in exceptional circumstances (e.g. illness), we may offer to reschedule at no extra cost.

  • We do not offer refunds for dissatisfaction or early discontinuation of treatment.

  • Packages (e.g. training plans) paid in advance are non-refundable, unless agreed in writing.


4. Consent to Treatment

  • By booking an appointment, you confirm that you accept our Privacy Policy and these Terms & Conditions.

  • Informed consent is obtained digitally via a pre-assessment form and verbally before treatment begins.

  • Consent may be withdrawn at any time.


5. Age & Adult Supervision

  • We treat clients aged 15 and above.

  • Children under 15 may be seen only in specific cases, with prior agreement and adult supervision.

  • A parent or guardian must be present during all appointments for under-15s.


6. Right to Refuse Treatment

We reserve the right to refuse or discontinue treatment if a patient:

  • Is under the influence of alcohol or drugs

  • Displays aggressive, abusive, or inappropriate behaviour

  • Fails to pay for services

  • Presents clinical contraindications beyond our scope of practice


7. Scope of Practice & Referrals

  • PhysioSTAR is led by a graduate sports therapist, not a medical doctor.

  • When appropriate, we may refer you to your GP or a specialist.

  • We do not offer emergency medical care.


8. Patient Responsibilities

  • You are responsible for informing us of any changes in your health, medication, or recent procedures, especially between sessions.

  • You agree to provide accurate and up-to-date information to the best of your knowledge.


9. Aftercare & Communication

  • Upon request, follow-up advice or exercise reminders may be provided via email or WhatsApp at no extra cost.

  • We encourage patients to note down or record rehab exercises during the session for better adherence.


10. Record Keeping & Access

  • All treatment records are securely stored in compliance with GDPR.

  • Records are retained for 8 years after your final appointment.

  • You may request a copy of your notes at any time to share with other professionals or for your own records.


11. Intellectual Property & Content Protection

All written, visual, and digital content shared on our website or social media — including rehab plans, videos, blog posts, and images — is the intellectual property of PhysioSTAR. Reproduction, distribution, or copying is strictly prohibited without written permission.


12. Reviews & Testimonials

  • Testimonials published on our website are shared with explicit consent from the individuals involved.

  • Google Reviews are publicly visible and may be referenced or displayed with full transparency.


13. Late Arrivals

  • A 10–15 minute grace period is allowed. If lateness impacts treatment quality, the session may be shortened or rescheduled.

  • In such cases, the full session fee may still apply.


14. Clinic Closures & Emergencies

In the rare event of clinic closure (e.g. illness, technical failure, or emergency), we will notify you promptly and offer the next suitable appointment. Refunds may be issued at our discretion if rescheduling is not possible.


15. Promotional Offers & Gift Vouchers

  • Promotions and discounts cannot be combined and are typically time-limited.

  • Gift vouchers and pre-paid plans have a clear validity period, which will be stated at the time of purchase.
